Governance Online meetings can take on a variety of forms, but the most important thing to have successful governance meetings is to make sure that participants can communicate with one another in the same way that they would have if they were meeting in person. This includes sharing screens with video and voice calling and allowing immediate responses to questions. This is also a way to ensure that any person can be asked to leave the meeting at any time if their participation is disruptive or unacceptable, and they should receive an email immediately with an account of the actions taken.

The the presiding officer, also known as the chair of the meeting, has to keep the process on schedule. The ideal governance meetings should have a an agenda that is strict and have time limits for each item. This will ensure that the conducting board meeting statutory governance standards are adhered also, and if an external party is reviewing the governance meeting they may seek evidence.

Ideally, governance meetings should be held weekly but this isn’t always practical for all teams. It is recommended to plan the first few meetings close together (especially when you’re just starting out with Roles) but plan to meet less frequently as your team gets used to working in Roles.

It is also helpful to schedule brief check-in calls between the meetings of governance. This will keep the team together, and give people an opportunity to address their concerns and ask questions. It’s also an excellent opportunity to build stronger connections between the top management team.
